Leasing Administrator
Job Description:
JOB SUMMARY
The Leasing Administrator role is to ensure the smooth functioning of an active team working under high pressure. Key responsibilities include, but are not limited to: managing the leasing database, overseeing deal documentation, coordinating with internal departments (Finance & Marketing), and supporting the update of market rent reviews.
RESPONSIBILITIES
Business Support & Operations
- Leasing Database Management: Collaborating with consultants and landlords to maintain accurate and up-to-date records for all leasing data, including lease expiry schedules for all Grade A and B office buildings, current and future vacancies, and the internal database system.
- Broker Deal Management: Managing all information related to broker deals. This includes contacting clients to finalize contracts, drafting offers, preparing lease agreements, and ensuring all documents are processed efficiently.
- Financial Coordination: Liaising with the Accounting Department to manage and issue invoices, ensuring all financial records related to leasing transactions are accurate and timely.
- Consultant Support: Providing building/lease space options; arranging appointments and itineraries; and supporting consultants with weekly internal management reports.
- Market Intelligence: Collecting information on potential landlord and tenant business opportunities and collaborating with managers to perform regular market rent reviews.
Marketing & Events
- Event Coordination: Coordinating with the Marketing (MarCom) team to organize and execute leasing events, promotional campaigns, and other activities to boost project visibility.
- Marketing Collateral: Supporting the preparation of digital and print marketing materials.
- Performance Tracking: Tracking marketing efforts of individual Leasing Consultants and following up to ensure marketing objectives are met.
REQUIREMENTS
- Customer Service: Strong interpersonal and communication skills; able to deal professionally with all levels of tenant and landlord organizations.
- Organization: Meticulous and highly organized to handle multiple tasks, manage documentation, and ensure all deadlines are met.
- Technical Proficiency: Competence in using Microsoft 365 platforms (Word, Excel, Outlook, Teams).
- Adaptability: Flexibility and a cooperative attitude to work effectively within a fast-paced team environment.
- Initiative: Ability to multitask under tight deadlines, use initiative to provide solutions, and follow through on deal closures.
- Language: Proficient in English.
